The Assistant Account Executive (AAE) supports day to day activities of assigned account(s), while coordinating effectively with client brand team and extended partners on development of tactics. The AAE is an agile member of the team who field frequent client requests and collaborate internally for strong thought leadership and best in class work. The position begins to demonstrate a strategic understanding of the client business and provides sound and responsible assistance to the team.

  • Assists in all facets of account services and client management as directed

    • Actively participates in internal and client status meetings

    • Effectively communicates client feedback to cross functional agency team and keeps team apprised of changes or updates to account in a timely manner

    • Assists in managing projects through client review process

    • Develops understanding of the brand’s strategic imperatives

    • Assists in tactical planning

    • Develops and submits internal documentation per agency SOP



  • Possesses working knowledge of all agency processes and works well with the internal team to ensure projects are progressing on time; assesses and monitors team and job productivity/efficiency

  • Monitors financial status of accounts

    • Monitors hours and production expenses

    • Responsible for approving billing and invoices, partnering with finance to manage hours



  • Prepares materials for reporting to the client with oversight

  • Obtains an understanding of the category, the brand, customer segments and relevant competitors; proactively seeks out team members to gain working knowledge of the brand and category ongoing basis

  • Keeps up-to-date on industry and category trends through websites, trade journals, market research

  • Remains alert to client needs and elevates opportunities to convert organic growth opportunities


 QUALIFICATIONS:

  • Bachelor degree required

  • 1-3 of years of project/account management experience, agency experience preferred

  • Excellent communication skills (oral and written), with the ability to interface collaboratively with cross-functional teams

  • Strong project management skills, especially as it relates to setting the tone for achieving deadlines within our fast-paced, ever-changing environment

MERGE is looking for a detail-oriented Media Finance Coordinator to help our team with billing, invoicing and reconciling our agency expenditures with our media vendors.

This person will be responsible for verifying vendor invoices against our planned media purchases, making sure our vendors are paid the correct amount, collecting information to confirm that our media has run, and communicating with clients to collect and remit payment.

The position reports directly to our VP, Finance but works closely with our media department.

Responsibilities:

MERGE is a collaborative company. Core functional responsibilities include:


  • Demonstrate good skills in written, verbal, and interpersonal communications, diligently attend to details, follow-through on all business requests, and understand sense of urgency.

  • Demonstrate the ability to appropriately communicate with and understand the functions of internal and external partners.

  • Reviews reports generated from proprietary media systems as well as planned vs actual reports indicating open items and vendor invoices that are ready for a cost audit process.

  • Identifies invoice discrepancies (including planned costs and delivery numbers) and works with vendors, media teams, and Finance/Accounting to resolve and reconcile invoices. This includes obtaining revised invoices and credits.

  • Works with vendors to resolve aging reports due to open items. This includes missing insertion order numbers.

  • Check for open invoices submitted to the AP mail box that have not been matched by the media teams.

  • Meets regularly with the Media Team to review and forecast cash flow.

  • Communicates with the Media Team and Accounting on any open-ended issues such as unmatched invoices, $0 invoices, reversal requests, coding invoices with IO numbers, credits, etc.

  • Responsible for providing detailed status comments through an invoice tracking process.

  • May require assistance to media teams during draft billing process.

  • Must comply with Sarbannes-Oxley rules.

  • May be required to conduct media system training.


Qualifications:

  • Bachelor's Degree.

  • 1 to 3 years previous experience in related field.

  • Proven record of time management and organizational skills.

  • Strong verbal and written communication skills.

  • Professional Attitude.

  • Intermediate Microsoft Word and Excel skills.

  • Experience with Strata and/or Advantage is a plus.

The Project Manager/Producer plans, directs, and coordinates all tactical activities of client engagements to ensure that project goals are accomplished within the prescribed time frame, funding parameters, and scope. The perfect candidate will have extensive experience with offline media and production processes but with a background in delivering digital projects/campaigns.

Responsibilities:


  • Work with account teams to define project scopes and statements of work, clarifying requirements, explaining executable ideas clearly and managing expectations

  • Develop workable budgets, detailed project tasks and realistic timelines

  • Manage assigned projects from start to finish, ensuring successful project completion against deadlines

  • Lead and inspire creative teams by communicating the vision for the project as well as involving people at the optimal levels for project success and overall account utilization

  • Determine project risks on an ongoing basis, escalates issues as needed

  • Evaluate best team makeup for assigned projects

  • Generate detailed campaign and project schedules with variable media channels deliverables

  • Create and maintain project backup, status reports, PO’s, estimates, schedules, change orders, technical and production specs, play books and any other backup documentation

  • Set up necessary key touch-point meetings in the process including weekly status meetings

  • Follow through on task assignments and enter “to do” lists per detailed schedules (from creative development through delivery) and assist with communication about deliverables to creative team

  • Managing delivery of all project content needs per project from start to completion

  • Implement internal approval process on all creative layouts & copy (from creative development through production phases of each project)

  • Review and summarize purchased media plan including key delivery dates for project management, production, and creative teams

  • Gather and confirm print and digital media specs, material due dates, extension dates, and requested material information from specified media company or websites and communicate accurate information to creative team

  • Work with SPM in managing daily client requests by prioritizing studio workflow and delivery

  • Keep SPM and Department Director aware of progress on each project and raise concerns as quickly as possible

  • Enforce Agency workflow process and quality assurance procedures to ensure successful execution as measured by agency goals and client satisfaction

  • Responsible for proofing process, brand guidelines, and quality standards on all projects

  • Attend and participate actively in all necessary status meetings weekly


Qualifications:

  • Preferred 4+ years of project management / traffic experience

  • Good understanding of production disciplines: print, digital, & broadcast

  • Experience being the liaison between creatives and account teams

  • Highly skilled in managing multiple projects in a fast-paced environment

  • Strong organizational, analytical and problem solving skills

  • Ability to take the lead, pivot and pull out all stops to get projects completed on time and within budget
